

How to setup and plan a race schedule
House of RC has a number of features that together makes it possible for race organizers and clubs to share their planned races in advance in a calendar (or the regular list) in a secure manner. For this to work it's crucial that organizers come together to collaborate, this House of RC can't help with. The collaboration can be on multiple levels, federations, international, national, regions and classes. How this is done and organised it's up to each ecosystem to manage and out of control of House of RC.
To set this up first you need to create a group that represents your ecosystem of organizers and clubs you want to share planned races with. Images explaining each step can be found in the Resources panel of this page.
- Create a group with all the actors that should have access to see the planned races. You create a group as an Organization and select type Group. You can select to make this group Private or Secret, you do this by selecting the correct Status. Private groups are visible but can't be joined by anyone, secret groups are only visible for the members of the group. You only need to create the group once, somebody that initiates this will do the first setup.
- Add members to the group. This is done by adding individuals or organizations to the Members panel of the group and set relationship type to Member. You can add and remove members as you please over time. Only people with admin rights to the group can do this.
After the group is created you can go ahead and create your events and races you're planning.
- Create a new event, series or race and set the Status to Planning, this is important! Select the preferred date for the event and save.
- Edit the event and go to the last panel called Roles. Add the group that was created in the first step and set the Role to View. You can also add individuals directly and multiple groups. One race can be part of many “ecosystems”.
- You need to do this for every event you want to share with certain groups. This way you have full control over who sees what event.
- The other members of the group will use the same group and add to their race so that you can see their races. You only need to create the group ONCE.
Now everything is setup up for the group members to see each others planned races. But to do this you need to use a special link that activates the planning function. Without using this link you will only see the regular public races. But when using this link you will see all races, public as well as planned races you have access to. This will give you a complete picture of the whole race calendar that you need to take in account when doing you planning. This link will take you directly to the calendar but you can also switch to the regular list or grid views.
